Residents
The Residents section is the heart of BoolCare. Every piece of care documentation — care plans, risk assessments, daily notes, forms — is linked to a resident record.
Adding a new resident
- Click Residents in the sidebar.
- Click Add resident.
- Fill in the resident's details and click Save.

- Full name
- Room number
- Date of birth
Optional but recommended
- Gender
- NHS number
- Allergies — toggle the allergy flag and add a description if the resident has known allergies
- Emergency contact — name and phone number
- Primary needs summary — a brief description of the resident's main care needs (used as context by the AI assistant)
- Height and weight — used for MUST nutritional assessments
The resident profile
Click any resident's name to open their full profile.

Personal details
Name, room, date of birth, gender, NHS number, allergies, and emergency contact are shown at a glance. Click Edit to update any field.
Photos
Upload a profile photo for the resident. Photos are stored securely and are only visible to authorised staff.

The timeline is a unified feed of everything that has happened for a resident — newest at the top. It shows:
- Daily notes
- Form submissions
- Body map submissions
- Care plans created or updated
- Risk assessments created or updated
- MUST assessments

In addition to the emergency contact stored on the main profile, you can add multiple contacts (family members, GPs, social workers) via the Contacts tab on the resident profile.

- Name
- Relationship (e.g. Daughter, GP, Social Worker)
- Phone number
- Email address
Resident status
A resident can have one of three statuses:
| Status | Meaning |
|---|---|
| Active | Currently in your care |
| Discharged | Has left the home |
| Deceased | Has passed away |
To change a resident's status, open their profile, click the status badge, and select the new status. Discharged and deceased residents are hidden from the main residents list but remain accessible for records.
